Plans and billing

How plans unlock features, how to upgrade from anywhere in the dashboard, and what changes when you switch.

Every hosted workspace starts on Moth Mode, which is free and is the whole product rather than a trial: 10 connected mailboxes, 10,000 emails a month, and 5,000 active prospects. Mothership costs $49 a month and lifts those limits. Both include campaigns, warmup, the unified inbox, contacts, the CRM, automations, integrations, the API, CLI, MCP, and signed webhooks, and neither charges for seats.

Mothership is also available annually at $588 a year. Every feature is on both plans: campaigns, sequences, warmup, sender rotation, the unified inbox, analytics, the API, CLI, MCP, product actions and events, webhooks and integrations, and unlimited users. Mothership removes the workspace mailbox cap. Safe per-mailbox sending limits still apply on both plans. See mailbox allowance.

Upgrading from a locked feature

When you open something your plan does not include, the dashboard opens a full-screen plan chooser instead of sending you to settings. It names the feature, highlights the plan that unlocks it, and lets you pick monthly or annual billing.

  • No subscription yet. Choosing a plan opens Stripe Checkout. When you come back, you land on the page you left with the feature unlocked.
  • Already have a Stripe subscription. Choosing a higher plan switches you in place. The change is prorated and takes effect immediately.
  • Above the Mothership limits. Ask for a limit increase from the dashboard and it goes through the audited override flow.

Promo codes can be applied in the chooser before checkout.

Stripe calculates applicable sales tax, VAT, or GST from the billing address entered at checkout. Where supported, a buyer purchasing for a company can add the company's legal name and business tax ID. Stripe includes those details on invoices and applies reverse charge or another zero-tax treatment where the jurisdiction and tax ID allow it.

Only the workspace owner can change the plan. Other members see the same comparison with a note to ask the owner. Which roles can do what is covered in Team and roles.

Managing your subscription

Settings > Billing is owner only and splits into four tabs, each with its own link.

Overview is the control panel for the subscription.

  • The plan card shows the plan, its status, the price, and the renewal or end date. Change plan opens the same chooser the locked features use.
  • Cancel plan schedules the cancellation for the end of the paid period. The plan stays fully active until then, and Resume clears it with one click. Nothing is lost either way: the workspace returns to the free tier and keeps its mailboxes, warmup and settings.
  • Usage and limits shows live counts against the limits the server actually enforces, for mailboxes, sends today, contacts, campaigns, team members, attachment storage, sends this period, and API calls. A meter turns amber past 70% and red past 90%. A meter with no cap means that limit is unmetered on your plan. The mailbox meter says where its number comes from (fair use, an approved request, or the free allowance), and the storage meter says so when a plan change left the workspace over its quota: existing attachments keep sending, and new uploads wait until you are back under.
  • Banners appear only when something needs a decision: a failed payment, a scheduled cancellation, or a trial about to end.

Need a single limit raised without moving plan? Request an increase from Settings > Limits, linked from the usage section, or straight from the connect dialog when it is mailboxes you need. An operator reviews it and the approved limit takes effect on the workspace, including the daily send allowance the sender enforces.

Plans compares the lineup as full plan cards, with the best value plan highlighted. For an existing Stripe subscription, monthly plan cards preview the estimated proration and next billing date. Payment links out to the Stripe billing portal. Cards and the billing email are held by Stripe and never touch SendSets, so they are read and changed there. Invoices and PDF receipts live in the portal too.

The portal also lets the owner update the billing address, legal billing name, and business tax ID. Update these details before the next renewal if the company moves or its tax registration changes.

The portal requires a billing account created through checkout. If your workspace has never completed checkout, including a free workspace or one with only an operator-granted plan, the payment tab explains that checkout is required first and links to the plan chooser. Portal and cancellation controls only appear when the corresponding billing account or Stripe subscription exists.

Managed mailboxes

Mailboxes SendSets provisions for you (sendsets mailbox provision, or POST /mailboxes/provision) are billed as their own subscription, separate from the plan: a monthly price per mailbox, a monthly price per warmed mailbox when the order asks for warmup, and a one-time charge for the domain SendSets registers. The quote shows every line before anything is bought, and the order opens a Stripe checkout link that a person completes; nothing is charged until then, and a checkout left open for a day cancels the order.

Infrastructure is sold at cost. SendSets adds no margin to a provisioned mailbox, a warmup subscription or a domain. What you pay is what the upstream provider charges SendSets, plus card processing:

Those upstream prices are read live when the quote is made, not held in a price list, because the provider moves them and a domain's registration price depends on the domain. That is also why a quote expires: after fifteen minutes the prices it fixed are no longer guaranteed, and provisioning asks you to quote again. The processing component is shown on the quote as its own figure, so the split between cost and processing is never hidden.

Domain prices are per year, and the quote also reports the renewal price, which is usually higher than the first year. Renewals are handled automatically; see below.

The subscription appears in the billing portal beside the plan. Cancelling it there, or cancelling the order with sendsets mailbox provision cancel, retires the mailboxes at the provider and takes them out of service here; their history and inbox stay. A failed renewal is reported on the order and the mailboxes keep working while Stripe retries.

Domain renewal

A managed domain is registered for a year, and a domain that lapses takes its mailboxes with it, so SendSets renews it for you. About thirty days before the renewal date the domain is charged at the provider's current renewal price plus processing, at cost like the registration, and the provider is then asked to renew. The renewal price is read fresh each cycle: it is normally higher than the first year and it moves.

A renewal only reaches requires_action when no retry can help: there is no card on file, the card was declined, or the provider refused the domain. It is never retried quietly into expiry. Everyone on the workspace who can manage billing is notified, and notified again while it stays unresolved, with the renewal date in the message.

Cancelling the mailbox order stops future renewals. There is no way to renew a domain that has already expired at the provider; that is why the warnings start a month out.

Plans granted by an operator

A workspace can be put on a plan without paying for it. SendSets calls this a managed plan, and it exists for internal workspaces, design partners and support gestures.

A managed plan entitles exactly what the plan entitles. Nothing about the product behaves differently, and nothing is charged: no Stripe subscription is created, no invoice is raised, and the billing page still shows what the workspace would pay. The grant carries the reason it was made and who made it, and it can be open-ended or given an expiry date, in which case it lapses on its own.

Upgrading a workspace with only a managed plan opens Checkout to create a Stripe subscription. Proration previews and cancellation apply only to an existing Stripe subscription. If the selected billing interval has no configured price, the dashboard explains that the plan is unavailable instead of redirecting to the portal.

Operators grant one from the admin panel on the workspace, under Plan. The organization list marks granted workspaces with a managed badge and can filter to them, so "who is paid because we said so" is answerable without checking Stripe. A grant that has lapsed keeps its reason on file and is shown as grant lapsed rather than disappearing.

A grant is held beside the plan a workspace pays for, never on top of it, so a paying workspace that is granted a different plan goes back to the one it pays for when the grant ends. Revoking returns the workspace to whatever it actually pays for, which for most is the free plan.

One thing a grant does not do: monthly AI credits are granted when an invoice is paid, and a granted plan raises no invoice, so a managed workspace does not receive a recurring credit allowance. Top up its balance directly if it needs credits.
